On behalf of SMART we would like to thank you for your participation in the 2019 SMART PROC GOVCON Small Business Procurement Conference.  This letter serves as your confirmation of an exhibit space.  Below are the details specific to exhibitors that will be helpful as you plan for this event.  If you have specific questions, please call Debbie Burrell, SMART PROC Chair at 202.641.4206 or email info@smartprocgovcon.com.  Exhibitor registration is open until November 10, 2019 which may affect the layout of the Courtyard.  Please visit the website for booth location at www.smartprocgovcon.com.

PLEASE REGISTER ALL ATTENDEES

at your booth online at www.smartprocgovcon.com, this is necessary for headcount and name badges.  For those paying by check, we will email you an excel spreadsheet to complete and return to dburrell@burrellig.com by no later than November 13, 2019.

Hotel Location & Overnight Accommodations

Clarion Inn Frederick Event Center, 5400 Holiday Drive, Frederick MD 21703. Phone 301-694-7500.  The hotel is located just off I-270 adjacent to the FSK Mall on the outskirts of Frederick, MD.  For SMART PROC Exhibitors requiring overnight accommodations, please indicate SMART PROC Group Rate which will provide the government per diem rate.  

Set-up Time: REMINDER THIS IS A 2-DAY EVENT

Set-up will be available from 10:00 AM – 12:00 NOON on  Monday,  November 18 and continue through Tuesday, November 19, 2019 at 5:00PM.  Doors open to the public at 12:00PM on Monday, and open on Tuesday at 7:30AM.  Please consider the extended hours in your preparation.

Tear down time

Please do not tear down exhibits until Tuesday, November 19, 2019 at 5:00 PM to allow the Tuesday Maryland Wine, Beer and Distillery tasting reception to wind down, with complete removal by 6:00 PM.  Drayage will be removed at 5:30PM.

Entrance

Included in this message you will find the hotel’s meeting room and exhibit diagram.  Please enter at the designated area by the Courtyard Entrance noted on the diagram for all setup and teardown activities.  The Lobby and Reception Area’s are committed to registration activities and will be unavailable for loading and unloading.

Miscellaneous Needs

  • If you require power, please bring your own 25’ extension cord to access power supply.

  • There will be very limited access to hang banners from the drayage pole.

  • Please keep all isles way clear of exhibit articles for firecode, please be respectful of other’s exhibit space.

  • The best layout for your booth, is to have the table placed at the back of your booth, with marketing materials allowing staff members easy access for networking opportunities.

VIP Tour Instructions

Immediately following the Keynote Session, Dignitaries have been asked to tour the Exhibit Hall either prior or after their session.  Please be prepared to provide a 30 second elevator pitch about your product/service.  Given the number of exhibitors, we try to take photos at each exhibit with this group and your staff.  It will be important for your staff to be prepared at your booth.  All speakers have been asked to tour the exhibit hall.
